Show & Shine - Don't Panic!

This is the letter we sent out all Show and Shine applicants, except 'late replacements'.
Please read it and note the bits (most off) which apply to you!

Bring with you the following two Show and Shine documents.
Document 1: Original Application Form (page 3 of which you would have already posted)
Document 2: Your Original Display Sheet - go to the Show and Shine page and click on the small image of your vehicle in its class to open up a new page with your vehicle details. There you will find the link above the bigger photo.

Dear DubFreeze Show and Shine Applicant,

This email is to inform you that your pass or passes are being emailed to you today and should be with you either tomorrow or Friday. If they do not arrive on time, do not panic!

Enclosed with this letter is your Display Sheet. You also have pages 1 and 2 of the original application document - you would have signed page 3 and returned it by post with your payment. Bring this bundle with you and show your Display Sheet as you enter the showground to the security or parking staff. You will be directed to the far right of the main building. This is the same route as all trade vehicles and autojumblers will take. In fact, they will enter the building using the same entry door as you. From about 7am until about 8:30am. Then they will be vacating the building and should be clear of it by 8:45am.

Between 7am and 7:30am it's a good idea to at least drive over to the far right of Bingley Hall and park nearby - on the grass. You will be permitted entry into the show hall between the hours of 7:30am and 8:30am, all being well.

If you're late (try not to be) you'll drive the same route, passing all the parked trade vehicles and pass through a narrow entrance, down a slope and you'll be looking for one of two big entry doors on your left. Knock loudly if no one is there - they should be, but if it's raining or too cold the doors are generally closed.

Gas bottles are not permitted in the building. If you carry one in your vehicle and you can leave it at home please do so. If you feel uncomfortable removing it from your vehicle then a member of the DubFreeze staff should be able to assist you. All bottles will be tagged and moved off-site for the duration of the Show and Shine event, to be returned after 3pm.

The Show Hall is opened to the public at 10am - this means the dividing door between the large main building hall and the small show hall is raised at this time. This gives adequate time for all participants to clean and prepare their vehicles. Water is available - but bring your own bucket, sponge and other cleaning materials.

As you drive into the show hall look out for pedestrians and vehicles manoeuvring into spaces. It's a tight fit and unless everyone arrives at the same time and is then guided into the hall in an assembled manner, it's not possible to align the classes. No one ever arrives at the same time as everyone else this early in the morning - but that has never been a problem because we use Display Sheets - yours is attached to this email. Print it out and bring it with you. If you forget it (try not to) we have a number of blank ones available for you to fill in on Sunday.

If you or any of your pre-paid partners wishes to access the main hall from the show hall you/they will not be permitted to until 9am (official opening time). This may require a short walk around to the entrance point of the building - or speak kindly to the staff and perhaps, if they're able to do so, they'll grant you access via the dividing door. This is sometimes an issue because people on the other side may take the opportunity to dive into the show hall before 10am!

You will need to confirm the arrival of your vehicle with concours control. That means you should approach the friendly staff operating behind the table and identify your vehicle and yourself to them. It's then that you should show the Display Sheet attached to this email.

Judging

DubFreeze is a self-judging event. That means all the competitors will receive (on checking in) a paper slip, where they must identify what they deem to be the best and second-best vehicle in the classes AC1, AC2, WC1 and WC2. So bring a pen! Hand your own results back to concours control before 12 noon and they will cross you off the list.

Prizes will be awarded around 2pm - although it might be later if the Charity Auction overruns, as it sometimes does. This is also being held in the Show Hall.

Your vehicle may vacate the Show Hall around 3pm, but not before. Around this time we close the dividing doors - so make sure you're on the right side! Do not forget to ask a member of staff for the return of your gas bottle - if you originally had one - they're all tagged.

DubFreeze officially closes at 4pm.

So it's "Paperwork, Pen and Gas Bottles". Directions appear on page 1 of the original document sent to you. Rules appear on page 2 - note NO 'FOR SALE' signs will be permitted on your vehicle. Vehicles for sale are to be parked outside. No ifs, no buts. This is not a posh sales area. It's a Show and Shine hall!

Any questions? You can try emailing us via the website. If it's late in the day, the web monkey who deals with all the email enquiries may refer you to his boss who is only contactable by phone. I'll do my best...

The REAL VW show season is about to come to life.

Enjoy your day.
